Instrumental Group, a top Elite HubSpot Partner agency, is seeking an Accounting Operations Specialist to support our finance, office, and HR teams. This role is all about accuracy, adherence to established processes, and operational excellence—your work keeps our operations running smoothly and directly impacts the success of our team.
We’re looking for candidates with demonstrated experience in accounting or financial operations, ideally with exposure to AR/AP, invoicing, reconciliations, or financial audits. Candidates who are meticulous, reliable, and able to independently follow processes are most likely to succeed in this role.

What You’ll Do
Financial Operations (90%)
- Create and manage accurate client invoices, ensuring alignment with contracts
- Track accounts receivable and perform collection outreach
- Process vendor payments, expense reimbursements, and weekly client deposits
- Maintain accurate financial records and support audits
- Follow documented financial processes to prevent errors and improve efficiency
- Support payroll processing if needed (training will be provided as required)
- Manage office vendors, equipment, supplies
Business Administration Support (10%)
- Manage office vendors, equipment, supplies,
- Coordinate team travel, events, and in-person trainings
- Assist with HR functions as needed (onboarding, offboarding, personnel records)
Who You Are
- Demonstrates strong financial literacy and comfort working with, AR/AP, and reconciliations
- Naturally double-checks their work and proactively identifies discrepancies before submission
- Able to manage responsibilities independently while maintaining alignment with leadership and established accounting controls in a fast-paced environment.

- Trustworthy, discreet, and professional when handling sensitive information
- Comfortable working with numbers and basic financial operations

Qualifications & Experience
- Bachelor’s degree in Accounting, Business Administration, or a related field
- 2+ years of experience in accounting, financial operations, or office operations preferred
- Demonstrated ability to follow documented processes accurately
- Proficiency with Google Suite and QuickBooks Online
- Experience with AR/AP, reconciliations, or financial audits is a strong advantage
